Empowering apprenticeship excellence: Aptem is named Learning Technologies Organisation of the Year

Aptem’s apprenticeship management platform has become a lifeline for training providers balancing the demands of high-quality teaching with ever-changing regulation and strategy. Aptem customers consistently report measurable gains in efficiency, growth, and learner success - from saving up to £200,000 a year, to boosting achievement rates by 15%.

These results were recently celebrated at the Learning Technologies Awards, where Aptem was named Organisation of the Year. The judging panel praised Aptem for its quantifiable impact on learning outcomes, high customer satisfaction, strong commitment to inclusivity and accessibility, and leadership in sharing best practices across the industry.

With Aptem, apprenticeship providers have the confidence and capability to focus on what matters most: transforming lives through learning.

Apprenticeships: vital, complex, and under pressure

Apprenticeships play a unique and vital role in education and skills development, creating pathways to rewarding work for learners and addressing critical skills gaps for employers. For governments and communities, a thriving apprenticeship sector supports economic growth and social mobility.

But behind every apprenticeship programme sits a provider navigating an array of challenges. Regulatory requirements shift rapidly. Funding processes are unforgiving, with mistakes risking both income and reputation. Tutors are stretched between high-stakes compliance paperwork and the need to deliver individualised, motivating support to learners from all backgrounds. In this environment, the right technology is essential for success.

Introducing Aptem: the backbone of apprenticeship delivery for over 160 providers

Aptem was created to help providers eliminate the trade-off between offering engaging learning experiences, and ensuring adherence to complex and ever-changing regulations. By embedding compliance and consistency into daily workflows, Aptem helps training providers, colleges, universities and employers to shift the focus from admin to achievement.

Aptem is an end-to-end platform built by apprenticeship sector experts to handle every aspect of modern apprenticeship delivery, including:

  • Managing the entire learning journey: onboarding, funding and compliance paperwork, progress tracking, learning delivery, and tutor communications.
  • Delivering multi-format, adaptive learning: personalised plans mean every apprentice receives the right support at the right time.
  • Automating admin and enhancing coaching: AI-powered features dramatically reduce routine paperwork, so tutors can focus on what matters most.
  • Strengthening compliance and management insight: dashboard reporting helps leaders improve forecasting, funding accuracy, and proactive learner support.
  • Streamlining regulatory processes: real-time evidence capture and rapid eligibility and funding submissions support Ofsted inspection and DfE audit readiness.

These features combine in a single, engaging environment, where learners see a clear path to success, and providers access a holistic view across all their learners, standards, and delivery models. The unique flexibility of the platform also allows providers to retain their unique institutional personality and processes throughout all interactions with learners and employers.

Aptem’s learner dashboard gives learners a single place to manage their apprenticeship.

Delivering sector-leading results

What matters most is impact, and Aptem’s impact is significant and measurable:

  • A 15.4% increase in learner achievement rates for Aptem customers, compared to 1.6% for providers not using Aptem (DfE data, apprenticeship achievements, CAGR 2020/21 to 2023/24).
  • 7.2% average provider growth for Aptem customers, with the rest of the market seeing an average decline of 0.2% (DfE data, apprenticeship starts, CAGR 2020/21-2023/24).
  • An estimated £150,000 – £200,000 saved per year in administration cost and time, for London South Bank University.
  • Up to 50% reduction in admin time for key tutor tasks thanks to Aptem’s suite of AI-powered tools.
  • Over 120,000 learners using Aptem every month.

The learner experience: clarity, motivation, and success

Aptem’s intelligent onboarding, clear and motivating learning plans, and powerful progress tracking reduce anxiety and create the foundation for achievement. Because Aptem can be easily tailored for different standards, levels, and learners, every apprentice receives a highly personalised experience.

As one learner explained, ‘Aptem was my lifeline for more than 14 months, keeping me on track and organised. The platform was intuitive and well-structured, making it easy for me and my coach to manage assignments, deadlines, and progress. It played a huge role in helping me achieve a Distinction.’

Provider efficiency: faster, smarter, more resilient

Aptem replaces complexity and manual administration with automation and intelligent process management. Take the monthly Individualised Learner Record (ILR) required for funding - a laborious process that used to occupy a member of staff almost full-time for many Aptem customers. With Aptem, ILR submissions are handled in seconds, and providers have total confidence in their accuracy.

By merging systems and slashing admin time, Aptem generates major cost savings which can be reinvested in growth and quality. London South Bank University estimates an annual saving of £150,000–£200,000.

According to Corndel, one of the UK’s largest training providers, ‘without Aptem, we quite simply could not deliver the quality service that we do for our clients and learners.’

Market-leading innovation

Aptem’s award win also recognises its commitment to continual innovation. In 2025 alone, Aptem customers benefitted from 229 new features and enhancements.

A significant area of investment has been in Aptem’s AI-powered tools. Aptem has delivered a suite of AI-powered features to tackle some of the most time-consuming tasks for providers.

As a result:

  • Tutors save around 30 minutes of admin per learner review using our one-click review summarisation feature, freeing up valuable time for teaching and support.
  • Providers achieve faster, more consistent marking with Aptem’s marking aid. Intelligent feedback templates, aligned with Ofsted and DfE guidelines, have helped tutors cut marking time in half.
  • Learners receive instant feedback through interactive knowledge checks and Aptem’s  virtual assistant, which delivers highly relevant answers to learner queries 24/7 - enhancing engagement and support.

When discussing Aptem’s AI-powered features, Vanessa Jones, Operations Director at Hawk Training shares ‘we would be significantly struggling in terms of capacity if we didn’t have AI. The timesaving is where we can invest in human-to-human education.’ For Hawk Training, just one of these transformational features is already saving 200 tutor hours per quarter.

Aptem is available on laptops, mobile and tablets, allowing for engaging, on-the-go learning.

Compliance confidence and inspection readiness

Apprenticeships are one of the most heavily regulated parts of the UK education system. Providers must evidence compliance with Ofsted and DfE rules at all times, with the risk of funding clawbacks or losing their status as a registered provider if they fall short.

Aptem was designed from the ground up to make compliance effortless:

  • Automated calculators minimise the risk of funding mistakes.
  • Routine paperwork is completed in minutes, not weeks.
  • Powerful reporting dashboards provide real-time evidence for audits or inspections.

Customers such as Resolve ASB and WEC Group cite Aptem dashboards as ‘indispensable’ and ‘invaluable’ during audits, with rapid, accurate reporting alleviating stress and supporting positive inspection outcomes. Central YMCA explains that their ‘recent Ofsted inspection praised the use of the system across apprenticeships and classroom-based learning for driving learner engagement.’

Partnership, expertise and flexibility

Aptem’s unique value lies in its deep partnerships with the apprenticeship sector. Every implementation is led by industry experts who understand the complexities and demands of apprenticeship delivery. Taking time to understand each provider’s specific needs, Aptem’s team works closely with customers to tailor the platform, manage data migration, and ensure seamless integration with existing systems.

Customer success remains central to Aptem’s approach. Regular review meetings, user groups, and sector advisory boards keep the company closely aligned with evolving customer requirements. With a customer retention rate of 98%, it's clear that Aptem continues to deliver value to customers year on year.

The Aptem community is vibrant and highly engaged. Aptem offers regular opportunities for Aptem customers to meet, contribute to the product roadmap and learn from industry experts about key topics. Last year alone saw 132 customers attending Aptem’s inaugural conference, and over 5,500 registrations for Aptem’s regular product and thought leadership webinars. Aptem customers know they have a true partner invested in their resilience, growth and excellence.

Reflecting on being named Organisation of the Year, Aptem CEO Rien Sach shares, ‘winning this award means so much to me and to everyone at Aptem. It’s a real reflection of the hard work, creativity, and heart our team puts in every day. I’m grateful for our fantastic customers and their learners, who trust us to play a part in their journey. As the sector continues to transform in line with government policy, we are ready and excited to champion learner progress, pioneer new solutions, and continue raising the bar for what learning technology can accomplish. We are so proud of the success our customers and their learners achieve, every day, with Aptem at their side.’

Whether a provider is new to apprenticeships or looking to embrace the benefits the latest technology can bring, Aptem stands ready to support them every step of the way.
