These are the terms and conditions upon which each entry registration and submission to the Learning Technologies Awards shall be subject. If CloserStill, organisers of The E-Learning Awards and publishers of e.learning age, (“we”, “us”, “our”, or “CloserStill”) accept an entrant’s (“you”, “your”, “yourself” or “entrant”) entry registration or submission, you will be bound by these terms and conditions and your entry registration(s) and submission(s) shall be considered and judged in accordance with these terms.
We reserve the right to amend these terms and conditions at any time and such changes shall be deemed notified to you by their publication online.

CloserStill reserves the right, in its absolute discretion, to extend the closing date for entry registrations for whatever reason.
CloserStill accepts no responsibility for entry registrations that are lost, delayed, misdirected or incomplete, or cannot be delivered or entered for any technical or other reason.
You may submit any number of entry registrations to the Learning Technologies Awards.
You may place an entry registration in more than one category.
You may make more than one entry registration in any given category.
You may enter the same product or project in more than one category.
You may make more than one entry registration on one entry form. Each entry registration for each product or project in each category will be deemed an individual entry and charged on that basis. This relates to entry registrations for the same product or project in multiple categories or for different products or projects in the same category. For example:
Project 1 entered into Category A = £160 plus VAT
Project 1 entered into Category B = £160 plus VAT
Project 2 entered into Category B = £160 plus VAT
Total cost of entry registrations = £480 plus VAT
Each individual entry costs £160.00 plus VAT. Each entry registration must be accompanied by the fee.
Entry registrations received after the closing date for entry registrations may be disqualified, in which case they will not be considered by CloserStill and the entry fee will be forfeited.
In the event that an entry registration is inaccurate or incomplete, does not comply with these conditions for entry or is deemed, at the sole discretion of CloserStill, ineligible for any other reason, then the relevant entry registration will be disqualified and the entry registration fee will be forfeited.
For the avoidance of doubt the entry registration fee is payable and non-refundable regardless of whether a final submission is made.
No submission will go forward for judging unless full payment of the fee is received before judging commences in August.
Submissions can be submitted anytime from 1 February 2016 until 16.59 BST on 28 July 2016. Submissions received outside this time period will not be considered. CloserStill reserves the right, in its absolute discretion, to extend the closing date for submissions for whatever reason.

Each submission should be accompanied by Executive Summary of no more than 100 words. This will be published alongside your entry name on our website if your entry is shortlisted. It may be used later in other material. The Executive Summary will be published without further consultation with you so you should ensure it does not contain any private or confidential material.
Submissions must not exceed 2,000 words. The final word count includes any appendices, PowerPoint slides or other accompanying written information. The word count does not include the 100 word Executive Summary or any explanatory text provided for images. Any explanatory text must be kept to a minimum

Submissions may be accompanied by any or all of the following if you feel they will add value:

The judging panel must be able to view any additional media without further interaction with you. It is your responsibility to provide correct login and password details or any other required access information at the time of submission.
The judging panel will spend no more than 10 minutes viewing any additional media. It is your responsibility to provide guidelines on how they should best navigate the information within that time frame at the time of submission.
Neither CloserStill nor any member of the judging panel will take responsibility for broken or inaccurate links or video files, nor links or video files that have been blocked by security settings or restrictions placed by internet service providers.
CD-ROMs, DVDs, USBs, company brochures or any additional electronic (other than that mentioned above) or printed information must not be submitted as these will not be reviewed or judged.

All judges are required to sign a confidentiality agreement before appointment. CloserStill also undertakes to adhere to the same confidentiality agreement.
Judges and organisers are bound by a clear agreement which prevents them from revealing the identity of winners until after the announcement of the award winners, which takes place during the gala evening in November 2016.
The shortlist will be announced in early September on Twitter in category order via @elearningawards. Every effort will be made to correctly tag all shortlisted entrants (and those of their partners or clients, if applicable).
If your entry is shortlisted CloserStill will also contact you by email in September with further details. This will include the date and time of your presentation, if applicable to your chosen category.
The shortlist will be published, by category, on the website after the announcement has been made.
The longlist of all organisations who make a final submission will be published on the website in August.
Shortlisted submissions in some categories require a 25 minute presentation to the judging panel. Please refer to the category information for further details. Judging presentations will take place in late September 2016, or as otherwise decided by CloserStill. Dates will be notified to those shortlisted at the time of shortlisting.
Presentations are primarily on a face to face basis at a venue in London, UK. A limited number of online presentations will be available. Online presentation slots are strictly limited and priority will be given to overseas participants. Any remaining online presentation slots will be offered on a first come, first served basis.
If you wish to reserve an online presentation slot, please contact us at the time of making your submission.
Neither CloserStill, nor any member of the judging panel, take any responsibility for an online presentation slot not being available. There is further information about online presentations below.
If your submission is shortlisted in a category that requires a presentation, CloserStill will notify you of the date, time and venue (if applicable) for your presentation when the shortlist is made public.
The date and time of any presentation, whether face or face or online, is fixed and is not negotiable. Although we make every effort to accommodate travelling and time zones, it is not always possible to schedule presentations to meet individual needs.
Presentations cannot be rescheduled for any reason. This includes lateness of more than 5 minutes (for any reason) or non-attendance or miscalculation of time zones.
For submissions requiring learner information please ensure that your presentation includes representatives of the learners where possible.

Online presentations must be arranged and agreed with CloserStill and the judging panel as soon as possible once your submission is entered, in case you are shortlisted.
The programme and software that will be used during the online presentations will be notified at the time of shortlisting.
